    Meet RSVP & Volunteering

Meet RSVP and Meet Volunteer Sign Up is now open. Please take the time to read this communication thoroughly. We cover a lot of information that is necessary to ensure a smooth season for your swimmer, the team and your family.

RSVP: Parents are responsible for RSVPing YES or NO (for every meet) for all of your swimmers. Do not assume coaches/board members know your summer plans. If you have multiple swimmers, please do not assume if one swimmer is a YES that all swimmers in your family are YES. There is a comment section if you need to leave a note for the coach/board members (example: will arrive about 7:00, will need to leave at 8:30, etc). Speak to board members if you have a potential conflict due to an outcome of another sporting game. Coaches will choose the events for each swimmer. Trust the coaches, they watch your swimmer(s) at practices. They will push swimmers to try all events, not just their favorite stroke. Weekly updates will give FIRM deadlines on when to have RSVPs entered. If you know your summer schedule and can say YES or NO now for each meet, go ahead and do so! (Championship RSVP and volunteer will open in July).

Check out these instructions on how to RSVP via the team website. Still need help after reviewing the document? Stop by the Board table during outdoor practice. We can help answer questions or even show you via the laptop.

MEET VOLUNTEERS: Swim team is a very heavy volunteer-run organization. Our regular swim season (not including Championships) will require 200+ volunteers across 5 meets. The average home meet requires 50 volunteers and away meets require 35 volunteers. This does not include our Coaching, Junior Coaching or Board members. The support of parents is crucial and the meet cannot run efficiently without the volunteer positions being filled.

There are 78 events in a swim meet. Volunteer shifts are broken into two sessions:

    • First Session: Event 1 - 44
    • Second Session: Event 45 - 78

8&Under swimmers are finished at the end of first shift. If you are the parent of ONLY 8&Unders DO NOT sign up for a second shift volunteer spot -- you will want to go home after your swimmer is done. If you are a NEW TO SWIM parent, we suggest you sign up for Set-Up Crew, Timer, Runner or Clean-Up Crew (if you have a 9 or older swimmer). Are you wonderful with kids? Sign up for Clerk of Course or Bull Pen (and have some caffeine before the meet!)

Do you need to volunteer at EVERY meet? No! But if you or a family member (mom, dad, grandma, grandpa, teenage sibling) can volunteer for two shifts minimum, this would mean all families are contributing to the success of our season.

Here is a complete listing of Volunteer descriptions. Still unsure what job is best suited for you? Stop by the Board table during practice.
